Job Summary:
The Food and Beverage Administrative Assistant supports the day-to-day administrative operations of the Food and Beverage department. This role ensures the smooth coordination of office functions, assists with scheduling, documentation, communication, procurement, and supports the management team in achieving operational excellence.
Key Responsibilities:
- Provide administrative support to the Food and Beverage Managers and departmental supervisors.
- Prepare, edit, and distribute daily reports, meeting agendas, minutes, and correspondence.
- Maintain departmental records, including invoices, contracts, licenses, and compliance documents.
- Assist in coordination of staff schedules, training records, and attendance logs.
- Assist in purchasing, inventory control, and invoice reconciliation.
- Facilitate internal communications between kitchen, service teams, and upper management.
- Organize and support F&B meetings, events, and promotional activities.
- Manage email communications, respond to inquiries, and follow up on action items.
- Ensure filing systems (digital and physical) are current and organized.
- Support compliance with health, safety, and hygiene standards through documentation and audits.
Qualifications:
**Education:** High School Diploma or equivalent required. Associate or Bachelor's degree in Hospitality Management, Business Administration, or related field preferred.
**Experience:** Minimum 1-2 years in an administrative role; hospitality/F&B experience is a plus.
**Skills:**
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Attention to detail and problem-solving aptitude
- Familiarity with POS and inventory management systems is an advantage
Working Conditions:
- Office base with visits to concessions and catering outlets as needed.
- May require flexibility in hours depending on operational needs, including weekends or holidays.
**Ability to lift 25bs on a regular and consistent basis.
